Was am ersten Tag dazugehört

Was man vier Wochen später prüft

Most small companies have a document for hiring and none for leaving. That is why the same three things happen every time: mail keeps arriving for someone who is gone, a customer keeps writing to their old address, and one password exists only in their head.

Start with the list you do not have

Before anything is closed, somebody has to write down what is open. One page, no system needed:

  • The mailbox on the company domain, plus every shared mailbox they had access to.
  • The file share and the folders inside it — including the ones they created.
  • Every web tool with a login: invoicing, calendar, hosting, the phone system, any tool the company pays for monthly.
  • The password list or vault entries they could read.
  • Physical things: laptop, keys, access card, phone, the SIM if it is a work number.

If that page does not exist yet, write it today for the people who are still here. It is the same work, and it makes the next departure boring.

What belongs on the first day

  1. Mailbox access off, forwarding on — or off, if the person should not keep reading mail.
  2. All sessions signed out and the password changed on anything shared.
  3. Login for the departed person removed from every tool, not just the main one.
  4. Phone number and public email redirected to a named colleague.
  5. Devices and keys returned, or an agreed date written down.

The technical part takes under an hour when the list exists. The handover takes one to two weeks. Doing it in that order avoids the awkward middle: someone still has access because nobody was sure whether the work was finished.

Two cases that always stall

The shared mailbox. If the address is public, it cannot simply be closed — it has to have a living owner. Decide who reads it and how long the reply line "please contact …" stays in place. Months of silent mail is the usual outcome.

The second person who knew the process. If the leaver was the only one doing the invoicing, the payroll side or the monthly report, the access question is the easy one. Find out which recurring tasks have no second name and fix that before the last day, not after.

What to check four weeks later

Ask two questions: is anything still being forwarded that should not be, and is there any invoice, subscription or tool account that quietly kept running in their name? Both show up on the bank statement long before they show up anywhere else.

None of this is dramatic work. It is one page, kept current, with a name next to every line — so that when it is needed, it is a checklist and not a conversation.

Devir teslim bir-iki hafta. Bu sırayla yapıldığında aradaki sıkıntılı durum oluşmaz: işin bittiğinden emin olunmadığı için birinin hâlâ erişimi olması.

Her zaman takılan iki durum

Ortak posta kutusu.
