Every month, a new tool promises to save your team hours. The demo looks effortless, the trial is free, and somebody in the company already knows its logo. Before anyone signs anything, one uncomfortable fact deserves a hearing: the tool you already have is probably still working.

Boring is not the same as broken. A spreadsheet that everybody understands, an email program that opens, a booking file that has never lost an entry — those are not problems. They are things that stopped getting attention.

Three questions before any new tool

  1. What exact problem? One sentence, with an example from last week. "Faster invoicing" is not a problem; "the January invoices took two evenings" is one.
  2. Who learns it first? Name the person and count the hours: setup, templates, imports, questions. If nobody wants to be that person, the tool will not be used — no matter how good the demo was.
  3. What happens to the old data? Check the export, do not assume it. A tool you cannot get your data out of is a tool you cannot leave.

The real bill

The licence is the smallest number on the page. Around it sit the migration, the double work while both systems run, the one colleague who becomes the expert and then goes on holiday, and the quiet half of the team that keeps using the old way anyway. Companies that count this honestly often find the old tool was not the expensive part — the switch would have been.

When switching is right

Switch when the old tool actually breaks, when a real bottleneck has a name, when the law changed, or when your team asks for the new one with reasons. A tool that is loved by the people who use it daily is worth its migration.

The 30-day list

Put the new tool on a list instead of buying it today. If the problem is still named every week after thirty days, buy it — with a named owner and a checked export. Half the time, the list goes quiet, and you saved the money and the weekends.

Tools are not progress. Work that flows is progress. The boring tool that already flows deserves the first vote.

Her yeni araçtan önce üç soru

  1. Hangi tam sorun?
