Every week, quotes go out of a small company. Some of them are never answered. Not because anyone did something wrong — the mail drowned, the reader was travelling, the price needed a second look and the second look never happened.
The follow-up is the cheapest sales activity there is. It is also the one most often skipped, because it feels like nagging and nobody has the time to write it.
A follow-up is three lines, not a pitch
A good follow-up does not sell again. It asks three things: is the offer from [date] still relevant, was anything unclear in it, and should we keep it open or close it? Three short sentences, one link to the original quote, a signature. Two minutes to read for the customer, five to send for you.
Where an AI assistant helps
The work around the message is what takes the time, and that is exactly what a model can take over:
- Drafting: it reads the original quote and writes a first version of the three lines — with the right number, the right date and the right product names, taken from your own document.
- Translating: a quote that went out in German gets its follow-up in the customer's language, without a second draft.
- Logging: it writes "follow-up sent on 16 October" where your list lives — the CRM, the spreadsheet or the folder — so the next person sees the history.
- Reminding: with a list of open quotes, the model can tell you which one has been quiet for two weeks.
What the model cannot know
Four things never make it into the draft: whether your price is still valid, whether the customer has already ordered elsewhere, whether you promised a discount on the phone, and how full your workshop actually is. Those are exactly the points a customer notices. Two minutes of reading before sending protects the quote: check the price, check the date, check the promise. If one of the four is unclear, write that line by hand.
A rhythm you can keep
- After five to seven days: the first follow-up — short, friendly, no new offer.
- After two to three weeks: the second — with one new piece of information (an example, a reference, a valid-until date).
- Then: close it. "We have not heard from you, so we are closing the quote — a new one takes one call." A closed quote is not a lost quote; it is an honest one.
One person owns the list. Without a name, the follow-up becomes everybody's intention and nobody's job.
An assistant that drafts, translates and logs will not make your quotes better. But it makes sure every quote gets its one honest follow-up — and in a small company, that is usually the difference between a quote that is decided and a quote that is forgotten.
